Finance Process Guide — Manual Payouts

Who does what

Finance Admin — runs weekly batch, handles all payout disputes, sets channel margins
Community Manager — creates community/workshop payout records via Community Manager Console → Community Payouts tab
Coach Payouts Admin — manages coach-specific payouts via Admin → Coach Payouts Admin page
Project payout — auto-allocated when a project is marked completed (no manual entry needed)

Weekly batch process

Every Tuesday 11:59 PM PT the batch auto-runs
All pending Payout & PayoutItem records are picked up
Sent via PayPal Payouts API to recipient's account email
Status updates to sent → completed on webhook confirmation
Failed items stay as failed — re-queue manually after resolving

💡 PayPal email: The system uses the user's account email as their PayPal email — no separate entry. If a payment fails, the user must ensure their login email matches their PayPal account, or update it in their profile.
